Guidelines for Presenters and Session Chairs
I will be presenting a paper
- You will present in the order listed in the session unless all panelists agree on a different order. Presentations with slides are possible in all conference rooms, but you should be mindful of the time allocated to your presentation.
- The time allocated to your presentation will depend on the number of presenters in your panel.
- As a general guideline, 30 minutes should be reserved for questions and answers (Q&A). The remaining session time will be divided among the presentations and, where applicable, the discussant’s comments and questions.
- If there is no discussant, the remaining time will be divided equally among the presentations, i.e.:

- 6 papers: 10 minutes per paper

- 5 papers: 12 minutes per paper

- 4 papers: 15 minutes per paper
- If you are presenting online:

- Please ensure that you have a stable internet connection and join the online session 10 minutes in advance to test your microphone, camera, and screen-sharing functions.

- Please be ready to share your presentation slides when requested by the chair.

- Keep your microphone muted when you are not speaking to minimize background noise.

- Please respect the chair’s guidance and timekeeping to ensure that all presenters have equal opportunities to present and receive questions.
I will be chairing an in-person session
- Please bring a laptop with an HDMI or VGA (15-pin) port. Not all conference rooms are equipped with computers at the docking station. Bringing your own laptop helps ensure smooth access to the presentation facilities.
- Arrive at least 10 minutes before the session begins. Your session location is listed in the conference programme.
- For paper panels:
- Reserve at least 30 minutes of the session for Q&A.

- If there is no discussant, divide the remaining session time equally among the presentations:

- 4 papers: 15 minutes per paper

- If a discussant is included in the full panel proposal, or if you choose to serve as both chair and discussant, allocate the session time appropriately among the presentations, discussion, and Q&A.

- Please keep strictly to the schedule to ensure equal presentation time for all speakers.
- Other session types, including innovative sessions and special sessions, follow their own structures.
- Please do not allow the session to run more than five minutes over time. The room must be vacated promptly so that the next session can begin as scheduled.
I will be chairing a hybrid session
- Hybrid sessions will take place both in the designated conference room and via Zoom. The Zoom link will be sent directly to online participants.
- Arrive at the in-person venue at least 10 minutes before the session begins. Your session location is listed in the conference programme.
- A member of the conference team will be available onsite to assist with microphone checks, screen sharing, and any technical issues.
- For paper panels:
- Reserve at least 30 minutes of the session for Q&As. Monitor the Zoom Q&A as well.
